Job #4779 – We usually devote all our time to recruiting for our clients, but every so often, we have a role to fill within our own team – this is that opportunity! We are a small, very successful, and well-established recruitment firm with our office located in Barrhaven. We are looking for an extremely well-organized, adaptable person with strong communication skills to support our recruitment and sales activities in the role of Office Administrator. Although this is a part-time, hybrid position, you will quickly become an integral part of our close-knit team, and you will be rewarded for it!

Your responsibilities will include everything needed to ensure our office runs smoothly despite continually changing priorities and deadlines, which is the nature of the work we do. The types of tasks you will be assisting our recruitment team with include:

  • Assisting our recruiters with writing and editing job postings, and posting them to our website and on social media
  • Completing employment reference calls
  • Initiating background checks and confirming candidate designations
  • Verifying candidate files and updating application forms and resumes in our database
  • Tracking placements and scheduling follow-up tasks for our recruiters
  • Updating and cleaning-up candidate and client information in our database and becoming an expert with our applicant tracking system
  • Sending and tracking invoices for permanent, contract, and temporary placements
  • Planning and creating supplementary social media posts
  • Organizing our involvement / sponsorship in network events such as golf tournaments
  • Keeping our office organized and ordering supplies
  • Ad hoc duties as required

Qualifications

  • A post-secondary degree / diploma is preferred
  • 3 + years in an administrative or customer-service role in a professional environment
  • Excellent English communication skills, both verbal and written
  • Strong attention to detail and ability to stay organized while multi-tasking
  • Positive, upbeat attitude towards work and collaborating within a team

How You Will Be Rewarded:

  • $60,000 – $70,000 salary range depending on experience, pro-rated for part-time hours
  • 3 weeks’ vacation plus December holiday shutdown
  • Hybrid work (in the office Tuesdays and Thursdays)
  • Fridays off
  • Part-time hours

Hours: Mon – Thurs 9:30am to 3pm
